Job description

The Project Support Officer (APS 6 equivalent) is responsible for providing operational support for a demand and planning team. The Project Support Officer manages the intake of digital work, working with stakeholders to analyse business requirements, ensuring work is sufficiently clear, viable and delivery ready before it progresses to delivery. Key CapabilitiesDemonstrated ability to manage shared mailboxes and high-volume correspondence, ensuring timely triage, prioritisation and allocation of work. Strong organisational and time management skills, with the ability to manage competing priorities and meet deadlines in a fast-paced environment. Well-developed stakeholder engagement skills, with the ability to build and maintain productive working relationships across teams and with external partners. Sound judgement and decision-making skills to assess, prioritise and escalate issues appropriately. Strong written and verbal communication skills, including the ability to provide clear advice and coordinate responses across multiple stakeholders. Ability to monitor workflows, track actions and maintain accurate records to support effective branch operations. Proven attention to detail and a commitment to quality assurance when managing requests, correspondence and business processes. Proficiency in Microsoft 365 applications and collaboration tools, including Outlook, Teams, SharePoint and Excel. Ability to work collaboratively as part of a team while exercising initiative and autonomy in managing day-to-day responsibilities.Customer-focused approach with a commitment to delivering responsive, professional and high-quality service. Key duties and responsibilities Key ResponsibilitiesCoordination of all incoming emails to the Front Door mailbox. Change Intake triage of Project Change Requests, Technical Change Requests, Change Requests and all ad hoc work. Support the delivery of Aged Care Project initiatives through project governance and assurance activities.Stakeholder liaison to support BAU activities and engagement with the Pipeline MDT.Provide a range of project management support services to ensure timely delivery of the project including assisting project leads in the development of project artefacts, documentation and schedules. Review and update the Roadmap that is reported through governance forums.Monitor and coordinate release papers for baselining releases.Prepare briefing materials or reporting. Support MDT with progressing through Discovery and stage gates 1-8. Support Capacity Planning and Demand Modelling as required.
